Note: This User Guide was created for v1.0.7 so some information may differ.

Installation and First Run

Download the latest release and install AssetTrakr. The default location is C:\Program Files (x86)\Laim McKenzie\AssetTrakr or C:\Program Files (x86)\McKenzie Software\AssetTrakr.

Find and run AssetTrakr.App.Migrator.exe to create your SQLite Database, this will be saved in C:\ProgramData\Laim\AssetTrakr\Database. Once your database is created, you can run AssetTrakr.App.exe, there should be a shortcut for this on your desktop if you selected it.

Manufacturers, Platforms and Operating Systems

When you save a License or Asset you will have to assign a Manufacturer, Platform or in the case of Asset's only, and Operating System also. You can create these directly in the New Asset/New License view, however I find going to Administration > Manufacturer Manager, Administration > Platform Manager or Administration > Operating System Manager easier.

Note: You require a Manufacturer for both Platform's and Operating Systems, so I would recommend creating your Manufacturers first. You can't create a Manufacturer from within Platform Manager or Operating System Manager.

Adding your first License, Asset or Contract

You can create a new License, Asset or Contract by clicking on their respective menu in the Menu Bar or using pre-defined shortcut keys

  • ALT+L = Add License
  • ALT+A = Add Asset
  • ALT+C = Add Contract

License

The following fields when adding a License are Mandatory.

  • Name
  • Manufacturer
  • Platform

All other fields are optional, however the more data you include the better.

Asset

The following fields when adding a Asset are Mandatory.

  • Name
  • Manufacturer
  • Platform
  • Operating System
  • Purchase Date (defaults to Today)

Fill out the information regarding your Asset, such as Hardware, Warranty and include Attachments if you wish.

Contract

The following fields when adding a Contract are Mandatory.

  • Name
  • Order Reference
  • Agreement ID

All other fields are optional, however the more data you include the better.

Contracts can be linked to Assets or Licenses, but not to other Contracts yet.

Attachments

Attachments are not required, however an Alert will appear on the Dashboard if you have a License, Asset or Contract without an attachment (this can be turned off, see System Settings).

There is no limit on the amount of attachments or the size of attachments you can include with each entity, just note that there is no compression and they are saved as BLOB so your SQLite database may increase quickly if you are attaching large files to every entity you save.

Viewing Licenses, Assets or Contracts

You can view your Licenses, Assets or Contracts by clicking on their respective menu in the Menu Bar and clicking View XXX where XXX is the entity you are wanting to view.

This will open up a new window with some pre-configured columns, at the moment the pre-configured columns can not be changed so once you close the form it will reset the columns, any sorting and their ordering.

To modify the view, edit or view your items, or export the grid out to an Excel Spreadsheet, click on the row in the datagrid and right click. This will open a new Context Menu with the following items:

  • Column Selector
  • Export List
  • View
  • Edit
  • Delete
  • Archive (or Unarchive if already archived)

Include Archived Items

By default items that are archived are not shown in the view. To enable this option, please review system settings.

Action Log

The action log is a record of (nearly) everything that has been done in AssetTrakr. At the moment, the following actions are logged:

  • If an item is Added
  • If an item is Updated
  • If an item is Deleted
  • If an item is Archived
  • If an item is Unarchived

The name of the item, it's category, what action was taken as well as a timestamp and owner is provided. Indepth information about System Setting changes is not currently included and is simple named 'System Settings'.

System Settings

System Settings is where you can configure certain aspects of AssetTrakr. Not everything in the tool is included yet, however more options will be added in the future.

Alerts

Alerts configuration allows you to enable or disable certain default alerts, at the moment the following are available (all are Enable/Disable):

  • Assets with Expired Warranty
  • Assets without Attachments
  • Assets without Warranty
  • Assets with Warranty Expiring Soon
  • Contracts Expiring Soon
  • Contracts without Attachments
  • Licenses with Expired Subscriptions
  • Licenses without Attachments
  • Licenses with Subscriptions Expiring Soon
  • No Assets Added
  • No Contracts Added
  • No Licenses Added

Application

Application configuration allows you to change certain aspects of the application, at the moment the following are available:

  • Automatic Backups (Enabled/Disable and Setting Value)
  • Check for Updates (Enable/Disable and Setting Value)

User

User Configuration allows you to choose certain user specific aspects, at the moment the following are available (all are Enable/Disable):

  • Include Archived in Alerts
  • Include Archived in View All
  • Include Archived in Widgets

Reporting

There is a very early preview of the Reporting system available in AssetTrakr. The following reports are currently available, with modifications and additions to be added soon.

Assets of Type

This report will show you all Assets in the system that have been assigned a certain type, such as Laptop, Desktop, Monitor, and Other.

Assets with Low Storage

This report will show you all Assets in the system with storage lower than the chosen threshold Criteria, by default it is 30.

Assets with Warranty

This report will show you all Assets in the system that have warranty assigned to them, active or expired.

Cost Analysis

This report will show you a break down by entity (Contracts, Assets) and Payment Frequency (Once, Monthly, Yearly) of how much you are spending on Assets, Licenses or Contracts. This report is very early on and although the data included is accurate, it is not complete.
